1. Objectives
1.1 Break Free Clinical Hypnotherapy is committed to providing the best service in a timely manner to each individual. Everyone’s presenting issue is equally important to them as it is to the therapist, offering them a service. Therefore, the payment and cancellation policy endeavours to provide fairness to all involved; yourself as a valued client, other current clients, and the therapist to ensure smooth operation of the business as a whole.
1.2 Break Free Clinical Hypnotherapy values everyone's time. For the smooth operation of business, it is important that both client and therapist are committed to the treatment plan and the policies therein. Therefore, all bookings require a deposit, at the time the booking is made to secure your appointment. Any changes to appointments such as cancellation and re-schedules need to be made in a timely manner for continuous flow of operation.
2. Payments
2.1 Break Free Clinical Hypnotherapy offers a FREE 20-minute inquiry call, there is no fee for this. This is a no obligation call and no charges apply. Initial appointment payments are $220.00 AU. Additional appointment payments are $190.00 AU. Inquiry calls are booked through the online booking system, Calendly, which is embedded into this website and social media pages. Initial and Additional appointments bookings will be made by the therapist through the online booking system Calendly.
2.2 When you book your initial appointment or additional appointment you will be required to pay a $50.00 AU deposit to secure your booking through Stripe Inc; our Financial Service Company or you can choose to pay via direct bank deposit. You will need to provide your bank/credit card details to your therapist in order for Stripe Inc to process your payment. Your therapist will provide you with BSB and Account Number details if you choose to pay via bank deposit.
2.3 The outstanding amount for your appointment, less the deposit is required at the end of your face to face appointment or video conferencing session, prior to ending the meeting. e.g.: Initial appointment is $220.00AU less $50.00AU deposit with $170.00AU owing at the time of your appointment, and prior to ending the video conferencing session.
2.4 If the transaction does not go through using Stripe, a second attempt will be made. If after a second attempt the transaction is not successful you will be asked to make the payment via Bank Transfer and given three business days for the funds to clear. If payment has still not been received, all future appointments will be cancelled and you will not receive your $50.00AU deposit back for your appointment.
2.5 If it is a regular occurrence that transactions do not go through, or you have insufficient funds, then you will be at risk of having your treatment plan cancelled and you will not receive a refund on your $50.00AU deposit for any appointments made.
3. Late Arrivals
3.1 If a client arrives for their appointment up to 15 minutes late then the appointment will not be cancelled, however the appointment will still finish at the scheduled time organised and the client will not receive additional time for that which has been missed and will not be refunded for any portion of the session and required to pay for their appointment less their deposit of $50.00AU.
3.2 If a client is over 15 minutes late past the appointment commencement time, then the appointment is at risk of cancellation. In the event the appointment is cancelled the client will not be refunded their $50.00AU deposit for that scheduled appointment however the client can re-schedule the appointment to ensure that they do not receive a financial loss.
3.2.1 If a client is over 15 minutes late, resulting in a cancellation of the appointment due to extenuating circumstances and is not in a position to re-schedule their appointment, then a full refund of their $50.00AU deposit will be transferred back into the client’s account of which the payment was originally made.
3.3 If a client has run late to their scheduled appointment on more than one occasion then it is at the discretion of the therapist as to whether their treatment plan continues or if the client will be denied from receiving a service and their file will be closed. In this situation there will be no refund of their $50.00AU deposit.
3.4 If a client has cancelled their scheduled appointment themselves or the therapist has had to cancel their scheduled appointment on more than one occasion due to running late, then it is at the discretion of the therapist whether the client’s treatment plan continues or if the client will be denied from receiving a service and their file will be closed. In this situation there will be no refund of their $50.00AU deposit.
4. Cancellations
4.1 We understand situations can arise that are out of a client’s control, in which the client must cancel their appointment. However, we request that notice of any changes or cancellation of a scheduled appointment are given at least 24 hours prior to the appointment commencement time. This allows us to offer the booking to another client and supports smooth operation of the business. A full refund of the $50.00AU deposit will be returned back into the account of which it came from.
4.2 Any changes or cancellations of your booking/s can must be made by contacting your therapist directly by:

4.3 Notification of any changes or cancellations will not be accepted via WhatsApp, Facebook, Instagram, Linked In, Zoom, Microsoft Teams or through our website.
4.4 If notice given is not provided at least 24 hours prior, then the client will not be refunded their deposit of $50.00AU for the scheduled appointment unless the reason for short notice is due to extenuating circumstances. In this situation a full refund will be returned back into the client’s bank account from which the payment was originally made.
5. Refunds
5.1 In accordance to Section 3.1 Late Arrivals - no refund will be provided.
5.2 In accordance to Section 3.2 Late Arrivals - no refund will be provided.
5.3 In accordance to Section 3.2.1 Late Arrivals - under extenuating circumstances and at the discretion of the therapist a full refund of the $50.00AU deposit amount will be transferred back into the client’s account from which it originated.
5.4 In accordance to Section 3.3 Late Arrivals – no refund will be provided.
5.5 In accordance to Section 3.4 Late Arrivals – no refund will be provided.
5.6 In accordance to Section 4.1 Cancellations – a full refund of the $50.00AU deposit amount will be transferred back into the client’s account from which the payment originated from, whereby the client has adhered to the 24 hours’ notice of a cancellation specification.
5.7 In accordance to Section 4.4 Cancellations – a full refund of the $50.00AU deposit amount will be transferred back into the client’s bank account from which the payment originated from, whereby the notice was less than 24 hours from the commencement time of the scheduled booking, and under extenuating circumstances. This decision will be at the discretion of the therapist.

6. Extenuating Circumstances
We understand that plans may change due to extenuating circumstances. These would be uncontrollable and unforeseen circumstances such as an emergency or a natural disaster. In some situations where it is determined by the therapist that an extenuating circumstance has occurred, such as in Section 5.3 and 5.7 of Refunds then a full refund of the $50.00AU deposit amount will be transferred back into the client’s bank account from which the payment originated from.

Registration Information
For membership registration, you must create an account by providing us with your email address and setting up a password. (Currently not applicable as this feature is not being used on the Break Free Clinical Hypnotherapy Website, however may be subject to change in the future)
You will be required to provide information when completing your Intake Form, this information will be stored in an electronic file by your therapist on a password protected system.
Payment Information
If you wish to purchase any of our services, you must provide valid payment card information. Payment card information is collected directly by a third-party payment vendor Stripe Inc, who is our Financial Service Company and is not received or stored by us. Your bank details may be required in the event a payment needs to be returned and those details will be stored by your therapist in an electronic file unde a password protected system.
Booking Information
If you wish to make a booking for any of our services, you must provide your personal details such as full name, email, phone number and the service you are requesting e.g: pain relief. Personal information is collected directly by a third-party payment vendor Calendly, who is our nominated booking system company and is stored by them and shared with Break Free Clinical Hypnotherapy when we receive details of your booking. Calendly will also receive your personal details when your therapist makes a booking for you using this booking system and it will be stored by them and shared with Break Free Clinical Hypnotherapy.
Other Information
You will be required to provide personal information when your circumstances change that may impact on your treatment plan through filling out a Change of Circumstances form and your information and progress will be documented in your Treatment Plan. This information will be stored in an electronic file on a password protected system.
You may also choose to provide other information about yourself in connection with surveys, contests, special offers, customer support inquiries, and other communications with us of which will also be stored in an electronic file that is on a password protected system.
Non-personal identification information
GoDaddy may collect non-personal identification information about Users whenever they interact with the Break Free Clinical Hypnotherapy Website. Non-personal identification information may include the browser name, the type of computer and technical information about Users' means of connection to the Break Free Clinical Hypnotherapy Website, such as the operating system and the Internet service providers utilised and other similar information.
